This Privacy Policy explains how Quadra Applicator (“we”, “us”, “our”) collects, uses, stores, and protects personal information when you use our website and platform (the “Service”). Because the Service connects customers with applicators and processes project-related data, we handle your information carefully and only as described below.
1. Who This Policy Applies To
This policy applies to all users of the Platform, including customers, applicators, technical support staff, and administrators. If you interact with us only as a public visitor (without an account), limited technical data may still be collected as described in Section 8.
2. Information We Collect
Depending on how you use the Service, we may collect:
- Account information: name, email address, password (stored hashed), profile photo, user role, and email verification status.
- Customer contact details: WhatsApp phone number (required for customers to support project communication).
- Google sign-in: if you use “Sign in with Google”, we receive your Google account ID, name, and email from Google. We do not receive your Google password.
- Project data: project title, location, type, surface scope (versatility), description, status, and related metadata you submit.
- Files you upload: photos, drawings, PDFs, and other documents attached to projects, complaints, reviews, or chat messages.
- Communications: in-platform chat messages, internal notes visible to authorized staff, reviews, complaints, and quotation-related information.
- Applicator profile data: company details, portfolios, certifications, points, levels, and public profile information.
- Technical data: IP address, browser type, device information, session identifiers, and usage logs for security, troubleshooting, and analytics (if enabled).
3. How We Use Customer Data
When you are a customer, we use your information specifically to:
- Create and manage your account and projects.
- Share relevant project details and uploaded files with applicators you choose to contact or select.
- Allow Quadra Technical Support to monitor discussions, assist with disputes, and maintain quality standards.
- Contact you about your account or projects via email (e.g. verification, password reset, service notices) and via the WhatsApp number you provide where appropriate for operational follow-up.
- Process reviews, complaints, and warranty-related records tied to your project.
- Improve platform safety, prevent abuse, and comply with legal obligations.
We do not sell your personal data. We do not use your project files or chat content for unrelated marketing without your consent.
4. How Project Files & Chat Are Shared
When you upload files to a project, you confirm that you have the right to share them and agree to our file upload terms shown at submission time. Uploaded files may be visible to:
- Certified applicators participating in discussions for that project.
- Quadra Technical Support and authorized administrators overseeing the project.
Chat messages and attachments in a project discussion are stored on the Platform to provide a record for you, the applicator, and support staff. Do not share passwords, payment card numbers, or other highly sensitive credentials in chat.
5. Legal Basis & Consent
We process personal data based on one or more of the following, as applicable:
- Performance of the Service you request (account, projects, discussions).
- Your consent (e.g. accepting file upload terms, optional marketing where offered).
- Legitimate interests in operating, securing, and improving the Platform.
- Compliance with legal obligations.
6. Data Retention
We retain account and project information while your account is active and as needed to provide the Service, resolve disputes, enforce agreements, and meet warranty or quality assurance requirements. Project records (including chat and files) may be kept for a reasonable period after project completion for support, complaint handling, and legal compliance. When you delete your customer account, access ends immediately; we retain your data for up to 14 days before permanent removal, except where we must keep records by law or for legitimate business purposes (e.g. completed project audit trails).
7. Your Rights & Choices
Depending on applicable law, you may have the right to:
- Access and update profile information (name, email, WhatsApp, photo, password) in account settings.
- Request correction of inaccurate data.
- Request deletion of your account through the profile settings delete option, subject to limits described above.
- Withdraw consent where processing is consent-based, without affecting prior lawful processing.
- Lodge a complaint with a relevant data protection authority.

8. Security
We use technical and organizational measures including hashed passwords, access controls, encrypted storage for sensitive configuration, and restricted staff access. No online system is completely secure; please use a strong unique password and protect your login credentials.
9. Cookies & Analytics
We use essential cookies and session storage for authentication and security. If analytics tools (such as Google Analytics) are enabled in site settings, they may collect aggregated usage data. You can manage cookies through your browser settings.
10. Third-Party Services
We may use hosting, email delivery (SMTP), and authentication providers (including Google OAuth). These providers process data only as needed to deliver their service to us. Review Google’s Privacy Policy if you use Google sign-in.
11. Children
The Service is not intended for anyone under 18. We do not knowingly collect personal information from children.
12. International Transfers
Your data may be processed on servers located in or outside Indonesia. Where required, we take steps to ensure appropriate safeguards for cross-border transfers.
13. Changes to This Policy
We may update this Privacy Policy from time to time. The “Last updated” date at the top will change when we do. Material changes may also be communicated through the Platform. Continued use after updates constitutes acceptance of the revised policy.
